Personalize or customize Email formatting

is it somehow possible to personalize the automatically generated mails?
Is the use of placeholders for name, date, etc. possible?

Have the ability to add hyperlinks (including emails) to G2W follow-up emails so recipients don't have to copy+paste into browsers. Removes element of friction for them.

Hyperlink text (i.e. “Watch Recording” is a command, but “My Certificate” isn’t)
Hyperlink introductions (i.e. the survey and certificate are introduced [i.e. “Please take the following survey” and “Your certificate is available here,” respectively], but the recording isn’t)
Hyperlink sequencing (sequence them in the order attendees will likely need them)

We would like to change the design of the emails sent through the Webinar tool. This includes reminder emails, follow-up emails and registration confirmation emails. Currently it is only possible to add a logo of our company in the middle of the upper part of these emails. Our goal is to adapt the design to our invitation emails, which have a proper header, as they are send out via out marketing automation software.

We set registration limits, for each webinar, we only allow 4k registrants and we also use pardot form as our webinar registration. The problem we have is once we reach the registrants limit, if we use pardot form, there is no way to let registrants know the webinar is full. Can we use our own HTML webinar confimation email to let people know the webinar is full. Or can we pull info from GoToWebinar and show it on thank you page to let people know the webinar is full. Thanks

Hi,

You do have the ability to include custom messaging, and also custom disclaimers when sending confirmation / reminder emails through GoToWebinar. This is a setting available for each webinar you schedule.

You may also disable emails for specific webinars if that is your preference.

I see i can write in Bulgarian but header and footer is in English and I can't change it. This is very annoying and I can see people are reporting this thread since 2014 and you didn't do anything to fix it. This shows how you care about the customer opinion. How do you feel if someone send you an email in English and then start speaking in Russian f.x. and then finish again in English. This is very unprofessional and you makes us look bad infront of our customers! Whoever is responsible for this should be FIRED and never be hired again

Hello Hristo,

While the GoToWebinar email templates do not currently support Bulgarian, you are welcome to write in some custom text in the reminder emails and follow-ups.

For web developers themselves, API tools are also available to create your own email communications from scratch.

How do I remove or edit the header and footer of the webinar. I want to write in Bulgarian not English. Now it looks very unprofessional to be in two languages especially with that A4 format footer.... Please help

In the confirmation email there are two places/boxes where we can add custom text, but in the reminder email there is only one place. Why not have the same two options as the confirmation email as I typically need to include the same info on the reminder email that I do on the confirmation email. And having to put everything in the one box at the beginning of the email is not ideal. Thanks.

Thanks for posting in the community!

GoToWebinar email notifications do have some fields which can be customized, but the overall layout cannot be modified at this time. Please see this article for information on customizing and managing the emails. has some branding and theme settings that can be customized to add logos or images of your choice. Please see this article for more information.

There are several third party integrations available online which you might consider for added customization ability. For example, Leadpages offers an integration with GoToWebinar for custom landing or registration pages. Marketo and Hubspot also offer their own integration's as well, which you might utilize for fully customized email campaigns.

Not the instructions on how to join -- that I'm fine with. I'm talking about the text that precedes that. If you look at the screen shot, you'll see my custom text ("Thanks for registering! We'll see ...") sandwiched in the middle of text that was already pre-populated by gotowebinar -- which includes the webinar description, which seems really weird by itself.

When you say filler, do you mean the instructions on how to join the webinar? Those instructions cannot be removed or edited, you can only add additional messaging to the default text at this time.

I'm trying to customize the confirmation email text, but every time I preview it, all the text (the filler plus the custom) displays. How do I get rid of the filler text so that only the customized copy shows up? See screen shot.

It would be most helpful if we could add hyperlinks in the emails that are sent to attendees. I need to send attendees a pdf file of note sheets that can be printed out before the webinar begins. It would also be nice to be able to hypertext markups like bold, underline and bullets. I can do that in this blog. Why can't we have the same flexibility for our emails?

Since there are only a few languages to choose from I would like to completely change the text of the confirmation mail. It should not be so hard to create an option to ONLY enter personal text and leave out all the GoToWebinar instructions. In this way I could translate it myself.

Hi Amanda, you can edit your webinar and disable this:

in the Email section select Edit to the right of Follow Up Email
Uncheck the box next to Send Follow-up Email to Attendees

I am piggy-backing on this because I can't seem to find an appropriate place to ask the question - is it possible to eliminate the "thank you for attending" webinar emails? We follow up with our attendees personally, and would prefer to not have these emails sent.

Brenda, I cannot agree more. It is confusing to the registrant. There is a small custom text area where I will sometimes explain the duplicate text to lessen the confusion.

It would also be great to have the ability to add a handout with the confirmation message as well - perhaps an agenda or meeting docs.

The confirmation email uses the same text from the description. This confuses our registrants because we include text that describes the registration process (we charge a fee and that takes place on another website). Without this text, many registrants may not continue to the payment page, which necessitates that I followup with them. If I could edit the description part of the confirmation email it would reduce confusion, which saves me time by not having to reassure confused registrants.

I have always though the email customizations to be very limited. Why Citrix doesn't allow an event organiser to put whatever he wants, where he wants and in the format he wants is beyond me.

On the new version of GoToWebinar, the only place to customize the text in the reminder email is at the beginning of the email. It used to be at the end of the email which I prefer. Why was this changed and can this be added back? Or allow customization at both the beginning and end of the email like the confirmation email now has. Thanks.

How do I customize the Confirmation Email to Registrants? Having customized the branding of the webinar, none of the styles are reflected in the Confirmation Email.
Also, how do I put additional links there, the "Custom Text" boxes do not allow HTML, it looks like?

Can you please put this on a "requested" list? The current font is fine for most people, but ironically, I happen to be sending an invitation to people ready to go on Social Security! Some definitely need larger fonts or a different bolder font for easier reading! Thanks! Got everything else in my branding ready to go!

I'm sorry no, you can not change the font or it's size at this time. Do you happen to use a very high resolution monitor, because the current font size is a standard 9.
