Questions about virtual events?

Hello,

We are planning to run a Virtual Event in the next few weeks, but I have to admit that I am in a bit of a struggle, as many things I am familiar with from running webinars don't seem to bet there (or different) in a Virtual Event.

How can I start a practice run?

How can I resend an email with the event link to a panelist or find the link so that I can send it myself?

The panelist email says "Join my Session". Can panelists use their link only to join the session they have been assigned to a presenters? If so, do they also need to register as attendees to join the other sessions?

Can attendees join before the scheduled time of the session, waiting until it gets started?

Hi @mb_PDM

You can start a scheduled session early for a technical rehearsal and stop it afterward, then start it again at the official time — as long as this is done before the scheduled end time of the session.

That said, if the rehearsal takes place close to the actual start time, there is a possibility that attendees could join early. You may want to do this well in advance of the scheduled session time.

Alternatively, you may consider creating a separate session specifically for practice purposes. Once your rehearsal is complete, you can delete that session so it doesn’t impact your event history or analytics.

Thank you for your feedback, which definitely helps a lot already.

I just have one follow-up question regarding the not-available practice mode. If I want to make a quick technical rehearsal with our presenters, can I alternatively just start (and stop) the corresponding session at any time, without it creating problems for the actual event?

Welcome to the Community.

I’m happy to clarify things for you.

* At the moment, we do not have a practice mode for Virtual Events.
* To resend the email with the event link to a panelist: *  Go to Agenda & Sessions in your Virtual Event
*  Select the session the panelist is assigned to, click Edit

* Select the Speaker and you will see the option to Resend the Invitation and Copy Join Link

* Panelists can only access the session(s) they have been assigned to, so they would need to register as an attendee to join other sessions, I'm checking with the team to see if there is another option. 
* Alternatively, you could assign them to additional sessions if needed, but they would then be joining those sessions in the role of panelist.
* As for attendees joining early: attendees can enter the session Hallway before the scheduled start time and will wait there until the session begins, they will see the option to Join when Session Starts
